About SortaSystems
The operations engineer your business never had room to hire

I'm Evan, founder of SortaSystems. I started this because I kept seeing the same thing in sole traders, local firms and growing SMEs: time is the scarce resource, and technology is supposed to give some of it back.
Most of the time it does the opposite. Work gets split across systems that do not talk, small tasks turn into admin, and people who should be doing the work end up wrestling with software that was sold to make the work easier.
I spent years in cybersecurity and enterprise software, where slow, fragile or unowned systems get expensive fast. This business brings the useful parts of that world down to a size a small company can actually use.
Mission
Serious systems, made usable
Clear ownership, sensible security, reliable connections between tools, data you can get back, costs that stay predictable, and systems people can run without becoming technical.
What we do
Build, connect, and tidy what the work depends on
We start with how the work actually moves: where decisions wait, what gets typed twice, which system holds the truth, and what breaks when someone is away. Then we build or connect the missing piece.
The shape follows the work. Judgement, messy inputs, documents and conversations suit an assistant. Predictable steps suit plain automation. We use whichever fits, then make sure what sits underneath is maintainable and sensible to run.
Why this exists
Good businesses outgrow messy systems
The work is there and the customers are there, but the setup falls behind. Spreadsheets multiply, tools pile up, and important steps live in one person's head. When the systems stop growing with the business, progress starts depending on memory and workarounds.
What we are good at
Core strengths
- Assistants and document handling for work that involves judgement, messy inputs or conversations
- Internal tools, dashboards and portals built around how the business actually works
- Connecting forms, CRMs, inboxes, accounts, payments and reporting so the same thing is not entered twice
- Fast websites, and web apps with logins, accounts and billing
- Domains, DNS, email migration, cloud accounts, permissions and supplier cleanup
- Security and recovery basics: two-factor, access control, tested restores, and ownership of the accounts that matter
- Hosting that stays in your name, with costs that stay predictable
- Documentation and handover, so the business can keep running it
How we work
A Predictable 4-Step Path From Problem to Fix
There's no transformation programme here, and no dependency dressed up as a partnership. We find the problem, fix it, write down how it works, and hand you the keys. Or we stay on a monthly retainer, if that suits you better.
Understand
We watch how the work really moves, which is never what the process document says. Where does it stop? What gets typed in twice? What only works because Dawn on the front desk remembers the workaround, and what happens the week Dawn is in Portugal?
Scope
Then we pick. Whatever costs the most hours or carries the most risk goes first, written up as a bounded job with a price on it. You'll know exactly what you're getting before anyone writes a line of code.
Build
We build it, then put it in front of the people who actually have to use it every day, while it is still cheap to change. They always find things we missed, which is the whole reason they see it in week two rather than at the handover.
Handover
You get the working system, clear documentation, and a handover to whoever owns the process. Keep us involved afterwards if it helps. The point is that you do not have to.
